NEC Proposal submitted 12th March by Anthony Butcher:
PROBLEM Chairmen were recently informed that member lists would no longer be automatically issued on a monthly basis. Presumably this was to cut down on postage costs. However, the result is that branches have out-of-date contact information, chairmen are left with the annoying task of asking for lists each month, and the office have to deal with the volume of requests on a manual basis, wasting a huge amount of time at both ends. PROPOSAL All branch member lists should be issued by email to branches monthly. ISSUES Emailing the lists rather than posting them will save a huge amount of money on postage. Automating the monthly process will end the annoyance for chairmen and cut out all of the wasted contact time at head office. Are there any data protection issues about passing on personal details in digital format rather than printed format? If so, we can issue a change of privacy policy notice in the next Independence and ensure that all new members agree to their data being used in this way. Are there any technical limitations to automated monthly mailings? Following on from the general election, is it the case that all chairmen now have email access, or at least one branch committee member who can receive the information? |

I was sent a list of changes by email recently, perfectly OK. It was in the same format as the normal lists, though I believe it's possible to get it as a spreadsheet.
A bugbear with the present system - when people die or move away they just disappear from the list with no explanation. Also I would like to see details of enquirers be automatically deleted after a year or two, stuff dating back to 1994 is completely useless !
