Default NEC Proposal: Immediate notification of new members to chair

Proposal submitted on the 12th March 2006 by Anthony Butcher:

PROBLEM
At the moment there is no mechanism for informing chairmen or branch secretaries about new members or new enquiries. This means that it may be up to a month before branches become aware of new members. If the chairman or secretary doesn’t manually compare the new list with the old, they may not even realise that they have any new members.

This prevents any immediate action from branches and will leave new members with an impression of ‘they took my money and I never heard from them’. Obviously this is not a good start to their membership.

PROPOSAL
All branches should be notified immediately by email, or preferably by telephone, of any new members in their area.

ISSUES
The main issue will be one of technology; is the UKIP computer system capable of automatically issuing emails? If not, how hard will it be to create a piece of software that can scan the database daily?

Do we have the manpower to telephone the details of every new member through to chairmen? How many new members do we get per day?

An excellent idea. One small point, please say "branch contact" rather than "chair" as in both of the branches I have been involved in, the secretary rather than the chairman has been the recipient.

Yes it is - assuming the correct software is installed and folks know how to use it.
We have two I.T. specialists employed by UKIP who can design and create the required software if necessary.

We won't ever have sufficient manpower relying on volunteers.

New members receive new memberhip cards, right?
Whoever is responsible for this task could easily keep a separate record of new members and update branches appropriately on a weekly basis.
Say, every Friday afternoon, instead of going home early.

But that raises another problem - we are losing members because they are cancelling 'cos after a month they have not rec'd membership cards or any other contact.

Greater efficiency from the beginning and then at all further stages of communication should be demanded.

Introducing another manual task would just engender errors; in any case the required information is in the database. What is needed is a new report, output to email not paper - "recent new members" - to be run as required (at least weekly).

I agree - preferably in database form.
